What is Microsoft Teams?

Microsoft Teams is a multi featured powerful collaboration tool - it can work within your organisation and extend to customers and suppliers. Is Teams better than Zoom?

In our view MS Teams and Zoom are both excellent video conferencing apps - it's hard to recommend one over the other without us knowing the use case and your requirements. But because Teams is an all-in-one tool aimed at enhancing productivity. To us it is similar to having Slack, Zoom and Google Docs all rolled into one.

One simple example is the ability to create action items for a meeting in the chat window while you're in the meeting. You can add due dates and notifications to the relevant people in the team chat, so everyone in the meeting can also see the tasks. But there is so much more. 

Can I get certified in MS Teams?

To earn the Microsoft Teams Voice Engineer certification, candidates must pass Exam MS-700: Managing Microsoft Teams in addition to the MS-720 exam.

Top Tips and Tricks for MS Teams

1. Creating a New Team You can create a new team by clicking on "Teams" in the left sidebar, then selecting "Join or create a team" at the bottom of the Teams list. Choose "Create a team" and follow the prompts to set up your team.

2. Joining an Existing Team You can join an existing team by clicking on "Teams" in the left sidebar, then selecting "Join or create a team." Enter the code provided by the team owner or search for the team name if it is public.

3. Starting a Chat You can start a chat by clicking on "Chat" in the left sidebar, then selecting "New chat" at the top. Enter the names of the people you want to chat with, type your message, and press Enter.

4. Scheduling a Meeting You can schedule a meeting by going to the "Calendar" tab on the left sidebar, then clicking "New meeting" at the top right. Fill in the meeting details, add attendees, and click "Save."

5. Sharing Files You can share files in Teams by clicking on the paperclip icon below the message box in a chat or channel, selecting the file you want to share, and clicking "Open." The file will be uploaded and shared with the participants.

6. Using Channels You can use channels to organize conversations and content within a team. Create a channel by going to the team, clicking on the "More options" (three dots) next to the team name, and selecting "Add channel."

7. Integrating Apps You can integrate apps with Teams by clicking on "Apps" in the left sidebar, browsing or searching for the app you want to integrate, and following the prompts to add it to your team or chat.

8. Video Conferencing You can use Microsoft Teams for video conferencing by going to the "Chat" or "Teams" tab, selecting the conversation or channel, and clicking on the video camera icon at the top right. You can also schedule video meetings through the "Calendar" tab.

9. Collaborating on Files You can collaborate on files by uploading them to a channel or chat. Click on the file to open it in Teams, where multiple users can edit it simultaneously. Changes are saved automatically.

10. Using the @mention Feature You can use the @mention feature by typing "@" followed by the person's name or the team/channel name in a chat or channel. This sends a notification to the mentioned user or group.

11. Managing Notifications You can manage notifications by clicking on your profile picture at the top right, selecting "Settings," then going to "Notifications." Customize how and when you receive notifications for different activities.

12. Joining a Meeting You can join a meeting by ensuring you have the correct meeting link or code, checking your internet connection, and making sure you are signed in to Teams. If the issue persists, try restarting the app or your device.

13. Fixing Audio or Video Issues You can fix audio or video issues during a call by checking your device's audio and video settings, ensuring your microphone and camera are not muted or disabled, and verifying that Teams has the necessary permissions. Test your devices in the "Settings" menu under "Devices."

14. Recovering Deleted Files You can recover deleted files from a channel by going to the "Files" tab, selecting "Open in SharePoint," and checking the recycle bin.

15. Keyboard Shortcuts You can use keyboard shortcuts to improve efficiency:

  • Ctrl + N: Start a new chat
  • Ctrl + Shift + M: Mute/unmute your microphone
  • Ctrl + E: Go to the search bar
  • Ctrl + 1: Go to the Activity tab

16. Customizing Backgrounds You can customize your background in a video call by clicking on the "More actions" (three dots) icon, selecting "Apply background effects," and choosing a background from the list or uploading your own image.

17. Using Breakout Rooms You can use breakout rooms during a meeting by clicking on the "Breakout rooms" icon in the meeting controls, selecting the number of rooms, and assigning participants to each room. Open and close the rooms as needed.

18. Using Teams on Mobile Devices You can use Teams on mobile devices by downloading the Microsoft Teams app from the App Store or Google Play Store, signing in with your Microsoft account, and accessing all the features of Teams on your mobile device.

19. Using Teams Templates You can use Teams templates to provide predefined settings and channels for specific scenarios. Go to "Teams," click "Join or create a team," and select "Create a team using a template."

20. Automating Tasks You can automate tasks in Teams using Power Automate. Access Power Automate from the "Apps" tab and set up flows that integrate with Teams and other Microsoft 365 services.
